AYY rents sauna, sitsi, party and meeting facilities for one day at a time. You can find information and pictures on all facilities on their own pages. For additional information on the facilities contact firstname.lastname@example.org
Reservations of facilities are handled by AYY’s Otaniemi Service Point during its opening hours on weekdays between 9am-4pm (Otakaari 11, tel. 050 520 9401, email@example.com). Reservation of facilities should be done personally. The booker is responsible for facilities throughout the reservation.
A facility booking request can also be submitted by using this form (SOON AVAILABLE IN ENGLISH). (NB! Bookings made at the service point or telephone bookings during the opening hours of Otaniemi member services (usually Mon-Fri, 9am-4pm) have priority over booking requests submitted with this form. Reservation requests submitted with the form are confirmed in a separate e-mail and the aim is to process the reservation requests made with the form by 12noon on weekdays).
Associations operating within AYY may book facilities in advance in the booking sessions organised in late spring and late autumn. During the period between the booking sessions, reservations are handled through the service point. The booking situation may be monitored as follows:
Payment details are sent by e-mail. Keys for facilities are not handed over unless the payment is made.
Keys to all premises can be collected between 12noon–4pm on the same day against a receipt or payment at AYY’s Otaniemi Service Point. For weekend reservations, keys can be collected on Friday.
If you have forgotten to collect the keys, you must call the maintenance service.
The keys must be returned to Otaniemi Service Point by 12noon on the following day together with the facilities checklist.
Deficiencies in the equipment in facilities
You can report deficiencies in fixtures and equipment when returning the keys to the facilities and the facility checklist. Current information about deficiencies in facilities can be found here.
The reservation of facilities must be cancelled in writing 14 days prior to the date of use, otherwise the person who booked the facilities has to pay the rent.
Heating of sauna
Users must inform Otaniemi Service Point about exceptional heating hours of the sauna no later than one week before the reservation. A separate fee of €10 will be charged for changing the heating time. If you want to extend the heating time of the sauna, additional hours cost €10.
Exceptions in the use of facilities
Facilities can also be rented for daytime. In this case, prices are negotiated individually with the organisation specialist.
Use of the facilities
The renter is responsible for rental facilities and movables for the whole time when the renter has the key for the facilities.
Renters make sure that:
- User time is not exceeded. NB! Premises must be empty and cleaned by the end of the user time.
- Movables are in the same order as they were upon entering.
- Tables and chairs are wiped with a damp cloth.
- Floor is swept and wiped and clean of rubbish and other waste.
- Toilets and kitchens (including ovens and cold rooms/fridges) are cleaned.
- Drink fridges and fridges are on all the time.
- Rubbish is taken to waste containers (ask for the location if you do not know it).
- Surroundings of the premises are clean of rubbish (particularly the surroundings of Smökki and Rantasauna).
- No one stays indoors when leaving.
- Windows are closed and doors are carefully locked.
- Facilities checklist must be filled out carefully and submitted when returning the keys.
When you sign for the key, you agree to follow the above rules. If the facilities or movables are untidy, damaged or lost, rubbish is not taken to containers or doors are unlocked, the renter will be charged for it. Neglects may result in a partial or complete user ban.
